Y-Accounting (operated by Y Nation UG, haftungsbeschränkt, Germany) is committed to protecting the personal data of its clients, their employees, and the individuals whose information is processed through our platform. This Privacy Policy explains how we collect, use, store, and protect personal data, and the rights you have in relation to it.
Y-Accounting is a data processor as defined under the EU General Data Protection Regulation (GDPR) and the South African Protection of Personal Information Act (POPIA). We process personal data on behalf of accounting firms (our clients), who act as data controllers. Our registered address is in Germany; our operations are conducted across Europe and Southern Africa.
In providing our AI operations services to accounting firms, we may process the following categories of personal data on behalf of our clients:
We do not collect or process sensitive personal data (special category data under GDPR) unless explicitly required by the nature of an engagement and subject to a separate data processing agreement.
We process personal data on the legal basis of contract performance — specifically, to deliver the AI operations services contracted by accounting firms. All processing is governed by a Data Processing Agreement (DPA) signed with each firm. A template DPA is available on request.
We retain personal data only for as long as necessary to deliver contracted services. Upon termination of an engagement, all client data is deleted within 30 days. Firms may request early deletion at any time, and we will provide a written deletion confirmation upon completion.
European clients may elect to have their data stored and processed exclusively within the European Economic Area (EEA). South African clients are covered under POPIA-compliant processing arrangements. Data is never transferred to jurisdictions outside the agreed region without explicit written consent.
Under GDPR (for European clients) and POPIA (for South African clients), individuals have the right to access, correct, delete, and port their personal data. Requests should be submitted to info@projecty.world. We will respond within the statutory timeframe (30 days under GDPR; the POPIA equivalent under South African law).

These Terms of Service govern your access to and use of Y-Accounting's AI operations platform and services. By engaging Y-Accounting, you agree to these terms. If you are entering into these terms on behalf of an accounting firm, you represent that you have authority to bind that firm.
Y-Accounting provides AI operations infrastructure for accounting firms, including workflow mapping, AI colleague configuration, deployment, and ongoing optimisation. The specific scope of services is defined in each firm's engagement agreement. These Terms of Service apply to all engagements unless superseded by a separately executed agreement.
You agree to use the Y-Accounting platform only for lawful purposes and in accordance with applicable professional standards. You are responsible for ensuring that your use of the platform complies with applicable regulations, including data protection laws and professional conduct requirements for accounting practitioners.
Accounting firms using Y-Accounting remain fully responsible for all professional judgements, sign-offs, and client-facing outputs. Y-Accounting AI colleagues prepare work for human review; the firm's authorised personnel are responsible for reviewing, approving, and taking accountability for all outputs before they reach end-clients.
Y-Accounting treats all client data and firm information as strictly confidential. We do not share, sell, or use your data for any purpose beyond delivering contracted services. Our team members handling client data are subject to contractual confidentiality obligations.
Workflow configurations, automation logic, and processes built during an engagement are the property of the client firm upon full payment of fees. Y-Accounting retains rights to its underlying platform, methodologies, and general-purpose tooling. We do not retain rights to client-specific configurations after engagement termination.
Y-Accounting's liability is limited to the fees paid in the three months preceding the event giving rise to the claim. We are not liable for indirect, consequential, or incidental losses. Nothing in these terms limits liability for fraud, gross negligence, or matters that cannot be limited by law.
Either party may terminate an engagement with 30 days' written notice. Upon termination, Y-Accounting will cease processing client data and delete it within 30 days, with written confirmation provided to the firm.
These terms are governed by the laws of Germany. Disputes shall be subject to the exclusive jurisdiction of the courts of Germany, unless a separate engagement agreement specifies otherwise.
We may update these Terms of Service from time to time. Material changes will be communicated to active clients with at least 30 days' notice before taking effect.
